Position overview

The Clinical Coordinator, Adult Services supports the day-to-day delivery of Our House NYC's adult grief support services. This role focuses on participant coordination, group logistics, volunteer support, and program documentation, working closely with the Clinical Program Manager, Adult Services to ensure consistent, high-quality service delivery.

This position reports formally to the Clinical Program Director and receives day-to-day operational oversight from the Clinical Program Manager, Adult Services. It does not carry supervisory authority over clinical staff, but does assist with intern and volunteer group leader onboarding, supervision and coordination as directed.

Qualifications

  • MSW required; LCSW preferred (or comparable licensure)
  • Minimum 1 to 3 years of clinical or program experience in a nonprofit, mental health, or community-based setting
  • Experience with group facilitation, grief support, or bereavement preferred
  • Strong organizational, communication, and relationship-building skills
  • Comfort with data management systems (Airtable, or similar)
  • Bilingual English/Spanish a plus

Key responsibilities

Group coordination and participant support

  • Coordinate scheduling and logistics for in-person and virtual adult grief support groups
  • Conduct Pre-Phone Intakes (PPIs) and support Pre-Group Appointment (PGA) scheduling
  • Maintain communication with prospective and current group members, including waitlist management
  • Support participant placement in appropriate groups in coordination with the Clinical Program Manager
  • Provide referrals to individual therapy and community resources as clinically appropriate
  • Assist with on-site group support during designated program evenings

Volunteer group leader support

  • Assist with Volunteer Group Leader communication, scheduling, and logistics
  • Support onboarding, training and supervision for adult Volunteer Group Leaders
  • Help coordinate supervision meeting materials and attendance tracking
  • Contribute to volunteer appreciation and engagement initiatives

Program operations and data management

  • Maintain accurate program records and data entry in Airtable and related systems
  • Support organization of program materials, forms, and workflow documentation
  • Assist with tracking attendance, pre-, mid-, post-, and early exit group surveys, and participant communications
  • Contribute to preparation of clinical figures and narratives for Board reports as directed

Community outreach support

  • Assist with community education workshops, outreach events, and presentations
  • Support maintenance of referral partner and community organization lists
  • Help coordinate logistics for community engagement activities

On-Site Grief Response (OSGR) support

  • Assist with coordination of OSGR engagements as directed by the Clinical Program Manager
  • Support logistics, materials preparation, and post-engagement documentation

Team collaboration and administration

  • Attend clinical, team, and all-staff meetings as required
  • Maintain the adult program calendar in coordination with the Clinical Program Manager
  • Support onboarding of new volunteers and interns as directed
  • Contribute to special projects and organizational initiatives as assigned

Professional development

  • Remain current on grief research, bereavement theory, and evidence-informed practices
  • Participate in relevant training and continuing education opportunities
  • Share knowledge and learning with the clinical team

A note on the reporting structure

This position operates within a shared oversight model. The Clinical Program Director holds formal supervisory authority, including performance evaluation and clinical accountability. The Clinical Program Manager, Adult Services provides day-to-day operational direction, workflow guidance, and program-level coordination. This structure is designed to support the Clinical Coordinator's professional development and integration into the adult program team.
