People come to Our House NYC at a tender time. This page explains, in plain language, what information we collect, why, and the choices you have.

The short version

We collect only what we need to respond to you and provide grief support. We never sell or rent personal information, we don't use advertising trackers, and you can ask us at any time to see, correct, or delete information about you. We use Google Analytics, with its advertising features switched off, to count visits and see which pages help people.

What we collect

  • Support and inquiry forms. When you fill out a form on this site to seek support, ask about our school program, our workplace program, or volunteer we receive what you choose to share: your name, contact information, and what you tell us about your family and the person who died. Our forms are provided by Fillout, a form service that holds submissions securely; from there they move into our internal records system, where access is limited to staff and clinical interns.
  • Email and phone. If you email or call us, we keep that correspondence so we can respond and support you well.
  • Donations. Donations are processed by Qgiv, our payment processor. We receive your name, contact details, and gift amount; we never see or store your full card number.
  • Technical information. Our website host keeps standard access logs (such as IP addresses) for security. We use Google Analytics to count visits and see which pages people find helpful. It sets a cookie that lasts 90 days, its advertising and cross-site features are switched off, and it is not loaded on our support, school inquiry, or onsite grief response pages. You can block it with your browser's settings or Google's opt-out add-on. We do not use advertising trackers.

About children

Some of our programs serve grieving children and teens. Information about a child should always be shared with us by a parent, guardian, or school staff member. Our forms are meant to be completed by adults. We ask for only the minimum needed to serve a child well. A parent or guardian can contact us at any time to review, correct, or delete information about their child.

How we use and share information

We use what you share to respond to you, provide and improve our programs, and keep in touch when you've asked us to. We never sell or rent personal information. We share it only with the services that help us operate (such as our form provider, payment processor, and email service), with your consent, or when the law requires it.

How long we keep it

We keep your information in our internal records only as long as we need it to provide our programs and meet our legal obligations. You can ask us to delete your information at any time by emailing info@ourhousenyc.org, and we will honor that request unless the law requires us to keep something.

Google Analytics visit data is kept for two months and then deleted automatically.

How we protect it

Our website uses an encrypted connection (HTTPS) everywhere. Form submissions are held by reputable providers with their own security safeguards, and access within our organization is limited to the staff who need it to support you. We maintain safeguards consistent with New York's data-security law (the SHIELD Act).

Services embedded on this site

Some pages include content from other services: our forms are provided by Fillout, donations are processed by Qgiv, video on our About page is played through YouTube's privacy-enhanced mode, which does not set advertising cookies from the page, and visit counts come from Google Analytics as described above. When you interact with those services, their own privacy policies also apply.

Current volunteers use a separate volunteer portal at volunteers.ourhousenyc.org, which is provided by Zite. It is only for volunteers who have completed training, and the information volunteers enter there is covered by this policy and by Zite's own privacy policy.

Your choices and changes to this policy

You can ask to see, correct, or delete your information, or unsubscribe from anything we send, by contacting info@ourhousenyc.org. If we make meaningful changes to this policy, we will update this page and its effective date.
